2.1 Connect to "Workflow"

In this chapter you will learn

  • how to connect to the Workflow,
  • how to search for Articles, Orders and Production Jobs,
  • how to check Print Items out and in of the Workflow.

1. Introduction

The Workflow already offers a large number of Fixups to prepare print data for production. However, these Fixups are always applied globally to the print data. Therefore, it may be necessary to manually take corrective action for the print data. Thus, the user can delete certain objects, make fixups for typos or reposition objects. The PDF Editor is available for precisely this use case.

1.1. Establish Connection to the Workflow

To connect the PDF Editor with a Workflow from Durst or with any Workflow from OnPoint, proceed as follows:

  1. Open the PDF Editor.
  2. Switch to the Workflow tab and click the Connect button.

  1. You have to enter the following data to connect to the Workflow.
    • Server [1] - Enter the IP address with which your Workflow can be reached in the network.
    • Port [2] - Enter the port with which you can access the Workflow. The default port is 8081.
    • User [3] - Enter the user name you use in the Workflow here. In order to obtain access authorization carry out the corresponding setup in the Workflow.
    • Password [4] - Enter the password associated with your user name.
    • Save password [5] - Activate this checkbox if you want to save the access data for the local computer.
  2. Press OK to save the access data for this Workflow in the database in encrypted form.

Set up multiple Workflows

Did you know that you can set up multiple connections to different Workflows in the PDF Editor, allowing you to switch very quickly between your production server, your development server or to a Workflow from a partner company?

1.2. "Workflow" tab

Search for Print Items in the connected Workflow in the Workflow tab and check them out and in as a new version after editing. Read this section to find out which functions this tab provides in detail. The tab is divided into three areas - Manage Connections, Search Print Items and Check Print Items in and out:

1.2.1. Manage Connection

In the first step, you must log in with

  • Server [6] - The server and port to which you are connected is displayed here (online), signaling that an upright connection exists.
  • Connect / Disconnect [7] - If no Workflow is connected yet, "Connect" is displayed in this button; if a connection already exists, you can terminate it again with the "Disconnect" button.

The following options for searching for the desired Print Items are available in the Workflow tab.

  • Status [11] - Filter the Print Items displayed in the Workflow according to the following statuses:
    • None - Filtering by status is ignored.
    • Normalized - Lists all Print Items marked as "Normalized" in the Workflow.
    • Preflight - Lists all Print Items marked as "Preflight" in the Workflow.
    • Print Items - Lists all Print Items marked as "Print Ready" in the Workflow.
  • Sort [12] - This controls whether the sorting is in ascending or descending order according to the selected parameters.
  • Sort by [13] - This can be used to control which of the following criteria are used to list the Print Items.
    • Internal ID - This ID was assigned to your Print Items in the Workflow. The ID can be recognized in the URL of the Print Item in the browser.
    • Status - Print Items can be sorted according to their status.
    • Name - Print Items can be sorted according to their name.
    • Last modified date - Print Items can be sorted by the date of their last modification.
    • Creation date - Print Items can be sorted by the date they were created.
    • Width - Print Items can be sorted by their width in millimeters.
    • Height - Print Items can be sorted by their height in millimeters.
  • Search criteria [14] - This controls which data you can enter in the search bar.
    • Internal ID - This controls whether the internal ID is searched for.
    • Name - This controls whether the motif name is searched for.
    • Width - This controls whether the width of the Print Items is searched for in millimeters.
    • Height - This controls whether the height of the Print Items is searched for in millimetres.
  • Refresh View [15] - This button is used to update the Print Items and synchronize them with the Workflow again.
  • Search bar [16] - Keywords can be entered here, which are then searched for.
  • Print Item preview [17] - Here you can see a preview image of your Print Items.
  • Print Item name [18] - Here you can see the name of your Print Item.
  • ID and size of ImageBox [19] - Here you can see the internal ID and size of the Image Box assigned in the Workflow.
  • Number of pages and status [20] - Here you can see how many pages are in the PDF file and what status is assigned to the file in the Workflow.

1.2.3. Checking Print Items in and out

Once the Print Items have been sorted and filtered as desired, they can be checked out of the Workflow, edited and then checked back in:

  • Check out Print Items [22] - Open Print Items in the Editor, alternatively double-click in the Print Item list in the Workflow tab.
  • Check in Print Items [23] - Load Print Items again into the Workflow. The file is checked into the Workflow and updated.
